Job Details

ROLE
The Client Relations team members are responsible for coordinating and addressing the day-to-day activities for the tenants, their visitors and service providers within the property ensuring that a high quality and value service is provided. The front of house team is one of the main points of contact for all tenants within property with the objective being able to ensure delivery of quality service in managing access and coordination with the other building services departments as necessary. The Client Relations Officer will be required to work evenings (5 days a week) in order to cover tenants ease of access into the tower. The timing will be 6.00pm – 12am, so is best suited to someone who is willing to work late shifts.
 
RESPONSIBILITIES
  • Coordination and responsibility for booking in all Visitors to the building, collection and checking of of ID, issuing Visitors Access Cards
  • Coordination and responsibility for all tenancy related issues including any necessary liaison with all supporting services e.g. FM, Security, SHEQ, etc.;
  • Coordination with car park operator in booking visitor parking, car park allocations, booking taxis and other services;
  • Assist tenants’ visitors and guests including the provision of support business services;
  • Coordinate, control and monitor service providers operating in any Front of House areas
  • Providing the point of contact for advise and rectification of building issues e.g. air conditioning, office areas, after hours requirements;
  • Manage the Summer Garden, Reception and other Front of House areas including monitoring of cleanliness, presentation, safety and repair issues and arranging rectification of any of items;
  • Monitor enforcement of Property Policies and Procedures where applicable and assist the Senior Management Team to refine and develop new procedures as required;
  • Co-ordination with the Logistics and Security teams;
  • Co-ordination with the Facilities Management teams;
  • Experience in the aspects of requirements in conducting business in a large commercial building and business operational needs
  • Management of consumables to all resource areas, including break out areas;
  • Keep, monitor and order (if required) reception and concierge equipment and supplies
COMPETENCIES
  • Operate a computerized telephone system to enable tenant requests for services
  • Ability to handle multiple tasks
  • Strong organisational skills
  • Strong customer service delivery skills
  • Proficiency in the use of computers including Microsoft Word and Excel, and data base management systems, Outlook and e-mail
  • Proven quality presentation and verbal communication skills;
 
EXPERIENCE
  • 2 years previous tenant services or operational in a large business, commercial or hospitality environment;
  • Familiarity with Building Management and Tenant Services and responsibilities within a commercial building e.g. air conditioning/security/cleaning/supplies/parking
  • Record of dealing with difficult people and situations and making appropriate judgement decisions;
  • Record of implementing systems to effectively record, address and finalise customer issues;
 
QUALIFICATIONS
  • Service /Management Courses desirable
  • Minimum Higher School Certificate achieved
  • Customer Services Courses
  • Arabic speaking desirable
